Job Description:

We are looking for a detail-oriented and proactive Executive Assistant to join a tech company on a contract basis for 2-4 weeks in Playa Vista, California. In this role, you will provide essential support to the Chief Executive Officer and other C-level executives, ensuring smooth day-to-day operations and administrative functions. This position offers a unique opportunity to work closely with leadership and contribute to organizational success. This is hybrid role, Monday through Friday, 8 hours per day.

Job Responsibility:

  • Manage and maintain executives’ calendars, including scheduling meetings and handling last-minute changes
  • Arrange and oversee travel plans, including booking flights, accommodations, and coordinating itineraries
  • Plan and execute large team events and off-site gatherings, ensuring all logistics are handled efficiently
  • Serve as a key point of contact for internal and external communication, demonstrating exceptional interpersonal skills
  • Handle sensitive and confidential information with discretion and professionalism
  • Utilize online productivity tools such as Slack, Asana, and Google Workspace to streamline workflows and enhance efficiency
  • Coordinate executive meetings, including preparing agendas and following up on action items
  • Adapt quickly to changing priorities and ambiguous situations while maintaining a high level of organization
  • Provide administrative support to leadership by preparing documents, reports, and presentations as needed

Requirements:

  • Minimum of 3 years of experience providing executive-level administrative support
  • Experience in the tech industry is a plus
  • Ability to work onsite in Playa Vista, California, four days per week
  • Proven expertise in planning and organizing large-scale events and off-site activities
  • Exceptional communication skills with a strong ability to build relationships and collaborate effectively
  • Advanced scheduling and coordination abilities, with comfort in managing last-minute adjustments
  • High attention to detail and excellent time management skills
  • Proficiency in using productivity tools such as Slack, Asana, and Google Workspace
  • Strong judgment and discretion in handling sensitive information
