We are looking for a detail-oriented and proactive Executive Assistant to support a senior leader within our organization. This long-term contract position is based in Ontario, California, and offers the opportunity to contribute to the success of a financial services company by ensuring seamless operations and effective communication. The role requires excellent organizational skills, adaptability, and professionalism in managing schedules, correspondence, and administrative tasks.
Job Responsibility:
Manage the executive's inbox by organizing emails, prioritizing urgent messages, and ensuring timely follow-ups
Coordinate complex calendars, resolve scheduling conflicts, and arrange meetings with internal teams and external partners
Facilitate one-on-one sessions between the executive and their team members, ensuring smooth communication and preparation
Prepare and submit accurate expense reports, adhering to company policies and tracking receipts for travel and other expenses
Review and approve routine expenses for direct reports, ensuring compliance with organizational guidelines
Arrange travel plans, including booking flights, hotels, and transportation, while addressing any itinerary changes
Support executive meetings by preparing necessary materials and ensuring logistical details are handled efficiently
Collaborate with stakeholders to maintain effective communication and facilitate project coordination
Anticipate the executive's needs and proactively address potential issues to improve workflow
Maintain confidentiality and handle sensitive information with discretion
Requirements:
Minimum of 2 years' experience as an Executive Assistant or Administrative Assistant supporting senior leadership
Proficient in calendar management, travel coordination, and expense reporting
Strong skills in using Microsoft Office Suite for documentation and communication
Exceptional organizational abilities and attention to detail
Effective communication skills, both written and verbal, with the ability to interact professionally with stakeholders
Proven ability to handle confidential information with integrity and discretion
Adept at problem-solving and managing priorities in a dynamic work environment
Proactive and adaptable, with the capability to anticipate needs and deliver solutions
