We are looking for an experienced Executive Assistant to provide high-level support to senior university leadership. This long-term contract position calls for a candidate with substantial experience who can manage sensitive matters, coordinate competing priorities, and serve as a trusted point of contact across a complex academic environment. The ideal candidate brings sound judgment, strong communication skills, and the ability to keep leadership informed while ensuring daily operations run smoothly.
Job Responsibility:
Manage complex calendars, coordinate appointments, and organize meetings for executive leadership while balancing shifting priorities and urgent requests.
Serve as a central liaison between senior leaders and administrators, faculty, staff, students, and external partners to ensure clear communication and timely follow-up.
Handle confidential inquiries, concerns, and escalated issues by assessing the situation, identifying next steps, and routing matters appropriately.
Prepare, edit, and distribute clear correspondence, reports, presentations, announcements, and other executive-facing materials for a range of audiences.
Track campus activities, deadlines, and pending decisions to anticipate needs, support leadership initiatives, and help maintain continuity across the office.
Support senior leadership with administrative and operational tasks related to policy interpretation, compliance matters, travel, procurement, and other institutional processes.
Record meeting notes, maintain organized documentation, and manage sensitive files with a high degree of discretion and accuracy.
Collaborate with leadership team members and their teams on priority projects, providing updates on critical issues and helping advance confidential or time-sensitive matters.
Requirements:
At least 2 years of experience in executive or administrative support, preferably within higher education or another complex organization.
Demonstrated ability to manage calendars, scheduling, and meeting coordination for senior leaders in a fast-paced setting.
Strong written and verbal communication skills, including experience drafting correspondence and preparing clear, well-structured documents.
Proficiency with Microsoft Office and Microsoft 365, including Word, Outlook, Excel, and PowerPoint.
Experience taking meeting minutes and maintaining accurate records, files, and documentation.
Proven ability to handle confidential information with discretion and sound judgment.
Strong organizational and analytical skills with the ability to manage multiple priorities and respond effectively to changing needs.
