KAIROS, Inc. is searching for an energetic, experienced, and highly motivated Executive Assistant, to join our team. This position will be located at our office headquarters in California, MD. The Executive Assistant will be an initial and a primary interface at the KAIROS headquarters office, located in California, MD, and be the first point of contact for all visitors, guests, clients, and employees at the office. This position will perform administrative and clerical duties with a high degree of initiative and skill in support of company executives handling important and sensitive matters with discretion. The candidate is expected to initiate their own daily assignments, follow through on matters, and use independent judgment and training to take appropriate actions to deal with standard recurring situations. This position will provide support across multiple functional areas of the executive leadership team at KAIROS, Inc.
Job Responsibility:
Anticipate executive needs and requirements, provide appropriate materials, and bring together the appropriate people and resources to address issues
Provide high level administrative support and assistance to company executives
Schedule and attend meetings for and with company executives, ensuring minutes, actions, and appropriate documentation is collected, distributed, and staffed
Maintaining office front desk operations during company core hours
Welcome and direct visitors and clients
Handle sensitive and confidential information professionally and in confidence
Maintain KAIROS corporate conference room (scheduling, facility, and meeting preparation)
Perform clerical functions such as, but not limited to, preparing correspondence
receiving guests
supporting other office staff and meeting coordination, as needed
Support operations team with special projects and other assignments, under the direction of company executives, as needed
Performs additional duties as assigned
Requirements:
High School Diploma, required
Bachelor’s degree in business administration or related field, preferred
At least three (3) years of experience working in an administrative field
At least one (1) year of experience supporting Director level or above
Experience with SECNAV Manual US Naval Correspondence (preferred)
Strong customer relations, analytics, and documentation skills
Self-starter, highly motivated, strong work ethic with a commitment to quality
Microsoft office suite proficiency, i.e., Word, Excel, PowerPoint
Understand the importance of task prioritization, consequence, and suspense
Ability to work within a challenging, fast-paced, team-oriented environment
Ability to work independently
Ability to multi-task and meet competing, deliverable deadlines
Detail oriented
Excellent interpersonal and customer service skills
Excellent verbal and written communication skills to provide clear status and/or communicate issues
Ability to adapt to evolving technology
Must be a U.S. Citizen
Must be able to complete the full background investigation
This position requires an Active Secret Security Clearance
