We are looking for a dedicated and highly detail-oriented Personal/Executive Assistant to join our team in Tampa, Florida. This role involves managing a wide range of personal and administrative tasks requiring exceptional organizational skills and the ability to anticipate needs. The ideal candidate will thrive in a dynamic environment and demonstrate initiative in handling responsibilities.
Job Responsibility:
Coordinate and manage multiple calendars using Microsoft Outlook for the executive and their spouse
Schedule and oversee appointments, including doctor visits, ensuring all necessary paperwork is completed and prescriptions are updated
Prepare and distribute detailed daily itineraries outlining meetings, appointments, and relevant information
Handle correspondence and act as the primary point of contact for incoming calls
Assist with errands and tasks as needed, maintaining a high level of discretion and attention to detail
Compile materials for projects
Organize and prepare for meetings, ensuring all materials and logistics are in place
Anticipate needs by proactively addressing issues and ensuring seamless operations
Requirements:
Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
Demonstrated experience managing complex calendars and scheduling
Strong organizational skills with the ability to multitask and prioritize effectively
Previous experience as a personal assistant, with a focus on handling personal matters alongside detail-oriented responsibilities
Excellent communication skills, both written and verbal
Ability to work on-site Monday through Friday and adapt to the family's seasonal schedule
High level of discretion and integrity in handling sensitive information
Initiative and resourcefulness in anticipating needs and resolving challenges
