We are looking for an experienced Executive Assistant to support senior leadership in San Francisco, California in a contract-to-permanent role. Job Responsibility
Manage executive calendars with a strategic approach, ensuring time is allocated according to shifting business needs and leadership priorities
Coordinate domestic and international travel arrangements, including itineraries, logistics, and related planning details for smooth execution
Organize meetings from start to finish by preparing materials, confirming logistics, documenting discussions, and tracking follow-up items
Build productive working relationships with internal partners and external contacts to improve communication flow and support cross-functional alignment
Take ownership of administrative projects and day-to-day support tasks, driving timely completion and maintaining accountability on key deliverables
Prepare briefing documents, agendas, summaries, and other executive-ready materials to support meetings, presentations, and commitments
Consolidate complex information into clear, concise executive summaries that help leaders review priorities and make informed decisions
Requirements
8+ years of experience in executive support, with substantial experience assisting C-level or senior executives
Demonstrated expertise in complex calendar management, executive meeting coordination, and travel planning
Proven ability to manage domestic and global travel logistics with careful attention to timing, accuracy, and changing conditions
Strong organizational and problem-solving skills, with the ability to work independently and prioritize effectively under pressure
Excellent written and verbal communication skills, including the ability to prepare high-quality materials for executive audiences
High level of discretion and sound judgment when handling sensitive or confidential information
Detail-oriented approach with the flexibility to adapt quickly in a fast-paced business environment
