Job Description

We are looking for a highly organized Executive Assistant to support legal leadership and the wider legal team in Wilmer, Texas. This Contract position is ideal for someone who can manage competing priorities, coordinate critical administrative activities, and help keep legal operations running smoothly. The role requires strong judgment, attention to detail, and the ability to handle sensitive information with professionalism.

Job Responsibility

  • Manage schedules for legal leaders and team members, arranging meetings, coordinating appointments, and keeping calendars aligned with business priorities
  • Monitor ongoing legal and administrative initiatives, track milestones, and help ensure assignments and deadlines stay on course
  • Review incoming requests to the legal team, route matters appropriately, and work with attorneys to support timely prioritization
  • Oversee calendar-related logistics such as key meetings, important due dates, and team time-off visibility to maintain effective planning
  • Support contract administration by coordinating review steps, guiding documents through approval channels, and facilitating execution workflows
  • Partner with Human Resources to assist with compliance-related tracking, documentation follow-up, and related administrative coordination
  • Maintain and support the contract lifecycle management system, helping preserve accurate records, efficient workflows, and a positive user experience
  • Organize legal records and documentation, including digital files, scanned correspondence, and other materials requiring consistent maintenance
  • Prepare meeting materials, capture discussion notes, and follow up on action items to help drive completion of next steps
  • Contribute to administrative and operational improvements that strengthen efficiency across the legal department
  • Act as Contract Lifecycle Management (CLM) system administrator, supporting workflow management, record accuracy, and user needs

Requirements

  • Experience providing administrative or executive-level support within a legal team, corporate environment, or related operational setting
  • Strong ability to manage calendars, meetings, travel arrangements, and multiple priorities in a fast-paced workplace
  • Excellent written and verbal communication skills with the ability to interact effectively across teams and leadership levels
  • Proven organizational skills with attention to detail in project tracking, document management, and follow-through on deadlines
  • Familiarity with contract coordination, signature routing, intake processes, or legal documentation workflows is preferred
  • Experience using legal technology platforms, contract management tools, or similar business systems is preferred
  • Ability to work collaboratively with attorneys, Human Resources, and cross-functional partners while maintaining professionalism and discretion
  • High level of confidentiality, sound judgment, and reliability when handling sensitive business and employee information
