We are looking for an experienced Executive Assistant to support senior leaders within a fast-moving financial services environment. This contract-to-permanent opportunity is well suited for a highly experienced candidate who can balance multiple priorities, communicate with sound judgment, and maintain exceptional accuracy in daily work. Job Responsibility:
Provide high-level administrative support to three leaders, ensuring calendars, priorities, and daily activities are managed smoothly and efficiently
Serve as a key point of contact for incoming requests, determine urgency, and respond appropriately while safeguarding confidential information
Arrange detailed domestic travel plans, including air or rail transportation, lodging, and local transit logistics
Organize internal and external meetings, team gatherings, and larger events by overseeing scheduling, materials, catering, and transportation needs
Offer support for important business events and remain available outside standard hours when coverage is needed
Manage recurring administrative tasks independently while identifying potential issues early and escalating concerns or delays as appropriate
Prepare and refine spreadsheets, slide decks, and written documents to ensure high-quality and accurate deliverables
Recommend and implement process enhancements that improve service quality, efficiency, and overall team support
Work closely with cross-functional partners on special assignments and take ownership of projects when requested
Coordinate with other senior administrative staff to provide backup coverage and contribute to shared office support responsibilities, including a hybrid schedule of three in-office days and two remote days
Requirements:
At least 5-7 years of experience in an Executive Assistant, Senior Administrative Assistant, or comparable support role
Strong organizational, analytical, and collaboration skills with consistent attention to detail
Excellent judgment, emotional intelligence, and professionalism when interacting with leaders, colleagues, and external contacts
High level of integrity and discretion when working with sensitive or confidential information
Clear and effective communication, both in writing and verbally
Advanced proficiency with Microsoft Office tools, including Excel for analysis and PowerPoint for high-quality presentations
Practical experience using AI-enabled productivity tools such as Microsoft Copilot to improve workflows and operational efficiency
Ability to succeed in a fast-paced, changing environment by managing competing demands, adapting quickly, and building strong relationships across teams
