We are looking for an experienced Executive Assistant to provide high-level support to a senior leader in Olympia, Washington. This Long-term Contract opportunity is ideal for someone who excels at managing complex schedules, coordinating communication, and keeping priorities on track in a fast-paced work environment. The role calls for strong judgment, effective communication, and the ability to handle sensitive matters with discretion while supporting day-to-day executive operations.
Job Responsibility
Manage a demanding executive calendar by scheduling internal and external meetings, resolving conflicts, and accounting for timing considerations such as commute windows and shifting priorities
Serve as a key point of coordination for the Executive Director by screening requests, directing inquiries appropriately, and helping protect time for the most important business needs
Monitor ongoing tasks and commitments to keep projects moving forward, including tracking deadlines, sending reminders, and following up on outstanding items
Attend meetings as needed, capture clear and organized notes, and distribute concise summaries with next steps and action items
Draft, format, and prepare business correspondence, presentations, and other business documents using Microsoft Office tools
Communicate with external partners and government-related stakeholders in an accurate and timely manner
Support executive meeting logistics by organizing agendas, confirming attendees, and ensuring virtual sessions run smoothly through Zoom when applicable
Review interview feedback and related notes to help maintain organized records and support follow-up activities
Requirements
At least 3 years of experience providing administrative or executive-level support in a fast-paced business setting
Demonstrated success managing complex calendars and adjusting schedules based on changing business priorities
Strong written and verbal communication skills with the ability to interact effectively with internal leaders and external stakeholders
Proficiency with Microsoft Office and Zoom, including preparing documents, presentations, and meeting materials
Experience taking detailed meeting notes and turning discussions into clear summaries and follow-up actions
Excellent organizational skills with the ability to manage workflow, track deadlines, and handle multiple priorities at once
Sound judgment, discretion, and careful attention when working with confidential or sensitive information
