We are looking for an experienced Executive Assistant to provide comprehensive administrative and strategic support to a high-level executive within the healthcare industry. Based in Minneapolis, Minnesota, this long-term contract position involves managing complex schedules, coordinating travel, and ensuring seamless communication across departments. The ideal candidate is detail-oriented, proactive, and adept at handling multiple responsibilities.
Job Responsibility:
Manage and maintain a dynamic calendar, scheduling meetings and anticipating potential conflicts to optimize the executive’s time
Coordinate detailed travel arrangements, including flights, accommodations, and itineraries
Prepare, process, and reconcile expense reports while ensuring compliance with organizational financial protocols
Draft, edit, and format accurate and well-organized correspondence, presentations, and other documents
Collaborate with other executive assistants and team members to ensure smooth organizational operations
Serve as a liaison between the executive and various departments, facilitating effective communication and collaboration
Organize meeting logistics, prepare agendas, attend meetings, and record accurate minutes as required
Assist in the development of the annual budget and track expenses, highlighting variances and ensuring adherence to financial guidelines
Support strategic planning efforts by maintaining documentation, monitoring progress, and generating performance reports
Plan and coordinate team meetings, retreats, and recognition events to foster a positive workplace culture
Requirements:
Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role
Proficiency in calendar management and scheduling for executives
Strong skills in coordinating travel arrangements and managing detailed itineraries
Experience in preparing well-organized documents, including reports and presentations
Excellent communication and interpersonal abilities to liaise across departments
Capacity to manage budgets and track financial expenses effectively
Proven ability to organize meetings, including agenda preparation and minute-taking
High level of attention to detail and ability to prioritize tasks in a fast-paced environment
