Strategic Partner in Executive Support. We are looking for a proactive and highly experienced Executive Assistant for an essential role within a leading financial institution. This key position requires significant autonomy and an ability to navigate a dynamic and multicultural environment. The Executive Assistant will act as an indispensable bridge between senior executives (C-level) and their teams, contributing directly to achieving the company's strategic objectives.
Job Responsibility:
Master and maintain complex executive calendars
Fully coordinate national and international business travel, including bookings (flights, hotels) and expense report submission
Organize, plan, and orchestrate all types of high-level meetings and events (including board meetings, Town Halls), including logistics, room coordination, and material preparation (briefing documents, meals)
Ensure smooth flow of incoming and outgoing communications (Outlook and Teams)
Act as a professional ambassador to visitors and external stakeholders
Prepare, review, and consolidate executive presentations (PowerPoint) and other sensitive documents, ensuring impeccable quality and accuracy
Assist teams in tracking inter-site deadlines and deliverables
Maintain essential administrative documentation (organizational charts, distribution lists, vacation tracking, new employee onboarding)
Manage sensitive information and special files with absolute discretion and constant professionalism
Requirements:
A minimum of 5 years of relevant experience in an Executive Assistant/Administrative Assistant role, ideally supporting senior executives
Perfect command of French and English, both spoken and written
Solid expertise with the Microsoft Office Suite (Outlook, Teams, PowerPoint, Word, and Excel)
Ability to anticipate needs and take initiative without constant supervision
Strong skills in time management, organization, and workflow coordination
A team player, with impeccable work ethic and a keen business sense
Nice to have:
Understanding of financial reporting cycles or corporate secretarial responsibilities
Experience with workflow management platforms such as Diligence or Concur/Workday
