Job Description

We are looking for a Freelance Executive Assistant for a luxury fashion brand at their East Rutherford NJ office!

Job Responsibility

  • Conduct a range of assignments derived from the duties and responsibilities of the Global Chief Information Officer
  • Act as a central coordination point for the IT leadership team, supporting collaboration, alignment, and information flow across the organization
  • Proactively manage and optimize the CIO's calendar, priorities, and preparation materials to ensure focus on the highest?value initiatives
  • anticipate needs and course?correct in real time in a highly dynamic environment
  • Support planning and execution of IT town halls, leadership offsites, work related lunches/dinners, and internal engagement or social events, including agenda coordination, logistics, communications, and follow?ups
  • Prepare regular briefing packets including scorecards, data analytics, reports and presentations
  • Take meeting minutes and compile PowerPoint presentations from scratch
  • End to end ownership of complex domestic and international travel planning, including itinerary optimization, contingency planning, and expense management
  • Thrive in a fast?moving, high?visibility role that requires sound judgment, discretion, adaptability, and the ability to manage multiple priorities with minimal direction
  • Serve as a trusted partner to the CIO, handling sensitive information with absolute confidentiality and exercising strong executive presence and professionalism
  • Answer and screen incoming calls
  • Track expenditures against budgets
  • Maintain files
  • prepare, review and categorize correspondence/memoranda/emails
  • Code invoices to appropriate departmental codes
  • Responsible for office planning and floor plans
  • Assist with some office related errands
  • Partner with other office EAs on office-wide engagement activities and events
  • Participate in other activities/projects at the discretion of Executive

Requirements

  • Bachelor's Degree required
  • 2-5 years of administrative support experience, preferably C-Suite
  • Proficient in MS Office Suite
