Job Description:

We are looking for a highly organized and proactive Executive Assistant to join our team on a contract basis in Richmond, Virginia, with an opportunity to convert permanently. In this role, you will serve as a key point of contact, providing executive-level administrative support while ensuring smooth office operations. The ideal candidate thrives in a dynamic environment and is skilled in managing schedules, coordinating meetings, and handling travel arrangements.

Job Responsibility:

  • Oversee office management tasks, including maintaining supplies, equipment, and technology resources to support employees effectively
  • manage executive calendars, schedule appointments, and arrange travel accommodations for leadership and board members
  • serve as the primary point of contact at the office, welcoming visitors and ensuring a meticulous front-of-house experience
  • coordinate and facilitate Board of Directors and Leadership Tactical meetings, including preparing meeting packets and recording minutes
  • process technology-related requests to ensure the team has the tools they need to perform efficiently
  • attend board meetings to take detailed notes and manage meeting minutes
  • interact with employees and volunteers across all levels of the organization in a courteous and respectful manner
  • ensure smooth communication and collaboration between the executive team and other departments.

Requirements:

  • Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role
  • required experience with Google Suite, general tech savviness
  • proficiency in managing executive calendars and scheduling appointments
  • proven ability to coordinate and arrange travel plans, including booking accommodations and transportation
  • strong communication and interpersonal skills to interact effectively with diverse stakeholders
  • experience in preparing meeting materials and taking accurate meeting minutes
  • familiarity with office technology and resource management
  • high level of discretion and professionalism when handling sensitive information.
