We are seeking an organized and proactive Executive Assistant to deliver comprehensive administrative support to senior leadership. This contract-to-permanent position is based in Cleveland, Ohio, and provides an opportunity to work in-office within a flexible and collaborative environment. The role demands exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities effectively.

Job Responsibility

  • Coordinate and maintain executive calendars, ensuring accurate scheduling of meetings and appointments
  • Organize and facilitate travel arrangements, including booking flights, accommodations, and transportation
  • Manage expense reports and ensure timely reconciliation using relevant systems
  • Plan and coordinate both internal and external meetings, ensuring all logistics are handled efficiently
  • Provide thorough administrative support, including managing correspondence and preparing documents
  • Utilize software tools such as Concur, Salesforce, and Microsoft Office to streamline processes
  • Ensure smooth communication across departments by liaising with internal and external stakeholders
  • Maintain confidentiality while handling sensitive information and documents
  • Proactively identify and resolve scheduling conflicts or logistical challenges
  • Support ad hoc tasks and projects as needed to assist the executive team

Requirements

  • Proficiency in Outlook and other Office applications
  • Experience with Concur and Salesforce is preferred
  • Strong organizational and time-management skills
  • Excellent communication skills, both written and verbal
  • Ability to handle multiple tasks and prioritize effectively under pressure
  • Previous experience in a similar role, with 1-2 years of entry-level administrative experience considered
  • Attention to detail and a proactive approach to problem-solving
  • Flexibility to adapt to changing priorities and schedules
