We are looking for a highly organized and detail-oriented Executive Assistant to join our team in Pomona, California. In this role, you will provide crucial support to senior leadership by managing schedules, coordinating travel arrangements, and ensuring seamless execution of organizational initiatives. Job Responsibility:
Manage and maintain executive calendars, ensuring efficient scheduling of meetings and appointments
Coordinate domestic and international travel arrangements, including booking flights, accommodations, and transportation
Prepare detailed reports and presentations to support decision-making processes for senior leadership
Compile and track key metrics and data to monitor organizational performance and progress
Facilitate onboarding processes for new team members, ensuring they have access to necessary resources and systems
Organize and support executive meetings, including preparing agendas and documenting action items
Maintain accurate records and documentation for programs, projects, and operational activities
Collaborate with various departments to ensure alignment and successful execution of organizational priorities
Develop and implement standard operating procedures to optimize efficiency and promote consistency across teams
Assist with workforce tracking and performance review coordination in partnership with the HR team
Requirements:
Proven experience in calendar management and scheduling for senior executives
Strong ability to coordinate complex travel arrangements, including international itineraries
Proficiency in preparing detailed reports and presentations tailored to leadership needs
Demonstrated skills in data compilation, metric tracking, and analysis
Familiarity with onboarding processes and HR-related operations
Excellent organizational and multitasking abilities to manage competing priorities effectively
Strong interpersonal and communication skills to collaborate across teams and departments
Proficiency in standard office software and tools, with the ability to learn new systems as required
