We are looking for an experienced Executive Assistant to support human resources leadership at a university in Norfolk, Virginia. This Contract to permanent opportunity is ideal for a highly organized individual who can manage competing priorities, safeguard confidential information, and keep administrative operations running smoothly. The role combines executive support, coordination of HR-related activities, and project follow-through in a fast-paced academic environment.
Job Responsibility
Provide high-level administrative assistance to HR leaders by overseeing schedules, arranging meetings, coordinating travel, and preparing expense documentation
Maintain and organize confidential employee records and personnel documentation in alignment with university standards and compliance expectations
Monitor project milestones and follow up on deadlines to help keep human resources initiatives moving forward on time
Support the planning and execution of departmental programs such as new employee orientation sessions, staff training events, and recruiting activities
Prepare correspondence, meeting materials, and presentations to support daily executive and departmental needs
Coordinate virtual and in-person meetings, including conference logistics, agenda preparation, and follow-up communication
Track time-sensitive administrative tasks and serve as a dependable point of coordination across HR-related functions
Requirements
At least 3 years of experience in an executive assistant, administrative support, or HR support role
Background supporting senior leaders, preferably within higher education or a similarly complex organization
Strong working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
Experience using business and HR-related systems such as Workday, PeopleSoft, ADP, Concur, CRM platforms, or timekeeping tools
Excellent organizational skills with a strong attention to accuracy and detail
Clear written and verbal communication skills with the ability to interact professionally across teams
Proven ability to handle sensitive and confidential information with sound judgment
Comfortable managing calendars, correspondence, meetings, and multiple priorities in a deadline-driven environment
