Job Description

As an Executive Assistant, you will act as the primary facilitator for the executive's daily operations. This is a high-visibility role requiring a 'gatekeeper' mentality balanced with 'problem-solver' execution. You will be responsible for the seamless coordination of the executive professional life within the Product and Engineering organization.

Job Responsibility

  • Master Calendar & 'Oxygen' Management – By proactively managing a complex calendar for multiple executives, prioritizing high-leverage meetings while protecting 'deep work' time
  • Lead Meeting Lifecycle & Briefing – By producing daily briefing packs, attending key meetings to capture minutes, and ensuring all action items are tracked to completion across the executive team
  • Orchestrate Travel & Logistics – By managing end-to-end global travel and logistics—including conferences and roadshows
  • Drive Internal Operations & Culture – By acting as a Program Manager to ensure company-wide deadlines are met and organizing internal All-Hands, team ceremonies, and celebrations
  • Collaborate on Executive Material – By ensuring the executive has all necessary decks, data reports, and PowerPoint presentations ready 24 hours before they are needed
  • Handle Administrative Operations – By handling expense reporting, procurement requests, document management, and other operational tasks that keep things running efficiently

Requirements

  • Proven Executive Support Experience – You have 5-7 years in a high-pressure support or operations role, ideally within scale-up tech, finance, or consultancy environments
  • Anticipation & Strategic Thinking – You have the ability to 'see around corners'—solving conflicts or logistical issues before the executive even knows they exist
  • Tools & AI Proficiency – You have a mastery of Google Suite, Slack, and Notion, and you are proficient in using AI to optimize workflows
  • Strong Communication & Discretion – You are fluent in Italian and English and can maintain absolute confidentiality regarding sensitive financial or board-level data
  • Flexibility & Ownership – You have a 'full flexible' approach, a willingness to go the extra mile, and are ready to be on-site as required to support the team
