We are looking for a detail-oriented Executive Assistant to join our team in Tempe, Arizona on a contract basis. This role involves providing high-level administrative support to executives, ensuring seamless coordination of daily schedules, travel plans, and meetings. The ideal candidate will bring exceptional organizational skills and the ability to manage multiple tasks efficiently.
Job Responsibility:
Maintain and organize executive calendars, including scheduling meetings and appointments
Plan and coordinate travel arrangements, ensuring all details are accurate and finalized
Book flights, accommodations, and other travel-related needs for executives
Prepare agendas and materials for executive meetings, ensuring all necessary information is available
Act as a point of contact for executives, managing communications and inquiries
Monitor deadlines and follow up on tasks to ensure timely completion
Assist with administrative tasks such as document preparation and correspondence
Handle confidential information with discretion and professionalism
Collaborate with other departments to facilitate smooth operations and communication
Requirements:
At least 2 years of experience as an Executive Assistant or in a similar administrative role
Strong skills in calendar management and scheduling
Proven ability to coordinate and book travel arrangements efficiently
Excellent organizational and multitasking abilities
Effective communication skills, both verbal and written
Proficiency in using office software and tools for scheduling and documentation
Ability to handle sensitive information with a high level of confidentiality
Strong attention to detail and problem-solving skills
