We are looking for an experienced Executive Assistant to support a senior leader in a fast-moving commercial real estate environment based in Melville, New York. This Long-term Contract position requires someone who can manage competing priorities, communicate confidently with investors, and maintain professionalism in high-pressure situations. The ideal candidate is highly organized, proactive, and comfortable serving as a key point of contact while keeping daily operations running smoothly.
Job Responsibility
Manage a complex executive calendar, schedule meetings, and ensure priorities are aligned with business needs
Coordinate domestic and regional travel plans, prepare itineraries, and handle changes quickly when schedules shift
Serve as the primary gatekeeper for incoming calls, emails, and meeting requests, directing communications with sound judgment
Interact professionally with investors and other external contacts, including handling sensitive or escalated conversations with composure
Prepare meeting materials, organize executive briefings, and support follow-up actions to keep initiatives moving forward
Maintain accurate records, correspondence, and administrative documentation using Microsoft Office applications
Support day-to-day administrative operations in a high-volume, fast-paced setting while balancing multiple urgent requests
Assist with contact tracking and communication updates in CRM tools such as HubSpot when needed
Requirements
At least 5 years of experience supporting senior executives in an executive assistant or similar high-level administrative role
Strong ability to manage calendars, coordinate executive meetings, and oversee detailed travel arrangements
Demonstrated success handling a high volume of calls and communications while acting as an effective gatekeeper
Excellent verbal and written communication skills, with the ability to interact effectively with investors and leadership
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
Ability to multitask effectively and remain organized in a fast-paced work environment
Nice to have
Experience in real estate, property-related industries, or other services settings is preferred
Familiarity with HubSpot or comparable CRM platforms is a plus
