Job Responsibility

  • Lead the administrative operations of the CEO's office, ensuring successful business performance and alignment with strategic objectives
  • Oversee the CEO's complex diary, schedule high-priority meetings, resolve scheduling clashes, and strategically allocate time for meeting preparation and report reviews
  • Provide end-to-end support for executive and board-level committees, including coordinating inputs, preparing agendas, taking precise minutes, maintaining version control, and diligently following up on action registers
  • Coordinate, compile, and proofread sophisticated business reports, committee papers, presentations, and proposals gathered from multiple senior sources
  • Ensure business processes comply with quality frameworks, timelines, and organizational policies
  • Act as the primary gatekeeper and key liaison point for internal and external stakeholders, providing exemplary service, maintaining strict confidentiality, and representing the CEO's office with the utmost professionalism
  • Regularly identify and implement process improvements within administrative and filing systems to optimize workflow efficiency and data accessibility

Requirements

  • Tertiary qualification in Business Administration (or a related discipline) and/or equivalent combination of substantial experience supporting a senior corporate leader or executive
  • Proven experience working within a State Government department, agency, or public sector environment, with a solid understanding of government protocols, reporting timelines, and compliance structures
  • Extensive experience managing the office of a senior executive within a complex or large-scale organizational structure
  • Flawless written and verbal communication skills with a proven track record of creating quality business plans, executive correspondence, and board-ready reports
  • Highly developed organizational skills with the ability to manage competing demands, multitask, and pivot quickly under pressure without sacrificing quality
  • Demonstrated ability to build trust, consult, and collaborate effectively with people at all levels, from peer administrative networks to C-suite and government executives
  • Self-motivated and highly organized with the capability to work independently, handle highly sensitive information, and maintain absolute confidentiality
  • Advanced computer literacy across standard office systems, enterprise databases, and financial tracking systems, alongside an openness to leveraging emerging technologies to improve administrative functions
