We are looking for a highly organized and proactive Executive Assistant to support key leadership within the non-profit industry. This long-term contract position is based in Nashville, Tennessee, and offers an opportunity to work in a dynamic and fast-paced environment. The ideal candidate will excel in managing schedules, coordinating meetings, and ensuring seamless communication across teams.
Job Responsibility:
Coordinate and manage executive calendars, ensuring appointments, meetings, and events are scheduled efficiently
Facilitate virtual and in-person meetings using platforms like Cisco Webex Meetings
Prepare and manage correspondence, reports, and presentations with a high level of accuracy
Organize and maintain records using systems such as Concur and Kronos Timekeeping
Handle financial services tasks, including payroll and expense tracking, using ADP
Assist in planning and executing conference calls and team events
Act as a liaison between executives and internal/external stakeholders, ensuring clear communication
Monitor and update CRM systems to ensure accurate data management
Manage travel arrangements and itineraries for executives
Support day-to-day administrative tasks to optimize team efficiency
Requirements:
Proven experience as an Executive Assistant
Proficiency with scheduling tools and calendar management
Proven experience in the non-profit sector
Strong knowledge of financial services tools, including ADP
Excellent written and verbal communication skills
Ability to manage multiple priorities and adapt to changing needs
Experience with CRM systems and data management
Exceptional organizational skills and attention to detail
