Job Description:

The Executive Assistant to the CEO will play a crucial role in supporting the CEO in day-to-day operations. This individual will be responsible for managing the CEO's schedule, coordinating internal and external communications, and handling various administrative tasks. The ideal candidate is proactive, organized, detail-oriented, and capable of maintaining confidentiality.

Job Responsibility:

  • Oversee comprehensive calendar management for the CEO, including scheduling and coordination of meetings, appointments, and travel arrangements, while also managing personal commitments and overseeing the administration of his personal affairs
  • Act as the primary point of contact for internal and external stakeholders, managing both professional and personal correspondence
  • Prepare, edit, and proofread documents, reports, and presentations
  • Arrange and coordinate various meetings, off-sites and events, including preparing agendas and gathering relevant materials
  • Serve as the primary point of contact for our Board members, assisting with their logistical needs
  • Manage the corporate calendar alongside the Chief of Staff and the CEO
  • Manage and process expense reports for the CEO
  • Liaise, lead and work with other company Executive Assistants and administrators
  • Handle sensitive information with the utmost discretion
  • Assist the CEO in various projects by conducting research, preparing summaries, and providing administrative support

Requirements:

  • Post-secondary education in a relevant field
  • Proven experience as an Executive Assistant, preferably supporting C-level executives
  • Exceptional organizational and time management skills
  • Strong written and verbal communication skills in French and English, bilingual in both languages
  • Proficient in MS Office suite
  • Ability to handle multiple tasks simultaneously and adapt to changing priorities
  • High level of professionalism and discretion
