We are looking for a highly organized Executive Assistant to support the CEO in a wealth management company. This person will manage email inboxes, calendars and will perform a variety of administrative tasks efficiently. The ideal candidate brings strong communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment. This role is 100% on site in Spokane Valley, WA.
Job Responsibility
Coordinate calendars, appointments, and client meetings to ensure priorities are managed efficiently and follow-up commitments stay on track
Reach out to clients to arrange reviews, confirm meetings, and support ongoing communication for active opportunities and accounts
Prepare presentations, meeting documents, and supporting materials ahead of scheduled discussions to ensure all information is complete and ready to use
Enter and maintain accurate records of customer interactions, tasks, and updates within CRM and other internal tracking systems
Partner with CEO and internal colleagues to relay requests, resolve open items, and help deliver timely responses to client needs
Monitor pipelines, account activity, and outstanding items by maintaining organized tracking lists and status updates
Support weekly planning sessions by organizing upcoming priorities, scheduling needs, and action items for the team
Keep work areas, files, and essential materials well organized so information is easy to access when needed
Requirements
Minimum of 5 years' experience with administrative support at a high level
Ability to manage emails, calendars, meetings, and multiple deadlines with a high level of accuracy
Strong written and verbal communication skills, including clear and accurate email correspondence
Proficiency with CRM platforms and Microsoft Outlook, Word, Excel, and PowerPoint
Strong organizational skills with careful attention to detail and record accuracy
Ability to work collaboratively with internal teams while managing tasks independently
Must be legally authorized to work in the United States
