We are looking for a highly organized and proactive Executive Assistant to join our team in Seattle, Washington. In this long-term contract role, you will provide essential support to executives, ensuring smooth operations and effective communication across departments. This position offers the opportunity to contribute to strategic initiatives and collaborate with both internal and external stakeholders.
Job Responsibility:
Maintain accurate departmental records and oversee the preparation of documentation, reports, and presentations
Facilitate the approval process for invoices and signatures while ensuring compliance with deadlines
Support the management of projects and initiatives, including handling budgets, timelines, contracts, and logistics
Monitor departmental databases, track contract deliverables, and oversee the SharePoint platform
Provide logistical and administrative support for meetings, events, and communication efforts
Assist in designing and implementing programs and initiatives to enhance organizational goals
Coordinate travel arrangements, including booking and scheduling, for executives
Serve as a strategic partner to leadership, contributing to planning and decision-making processes
Act as a backup for office operations during staff absences
Ensure confidentiality and handle additional duties as assigned
Requirements:
Proven experience in calendar management and executive-level scheduling
Strong skills in arranging and coordinating travel for business purposes
Proficiency in managing departmental databases and platforms such as SharePoint
Demonstrated ability to prepare detailed presentations and reports
Experience with budget management and tracking contract deliverables
Excellent interpersonal and communication skills for effective collaboration
Ability to maintain confidentiality and handle sensitive information
Self-motivated with the ability to manage multiple tasks independently
