We are looking for a skilled Executive Assistant to join our U.S.-China Practice Group and Corporate Department in New York, New York. This position requires fluency in both Mandarin Chinese and English, as you will support senior leadership and attorneys in a high-paced, global environment. The ideal candidate will be meticulous, adaptable, and capable of managing complex schedules, travel arrangements, and communication across multiple time zones.
Job Responsibility:
Provide comprehensive executive support to the U.S.-China practice group leader, including managing schedules and coordinating meetings
Facilitate travel arrangements and accommodations for the practice group leader, ensuring seamless logistics
Draft and revise documents with attention to detail, including letters, memos, expense reports, and email correspondence in both Mandarin and English
Handle administrative tasks such as file organization, billing, and collections with precision and timeliness
Maintain attorney calendars, track event registrations, and oversee time entries and firm records
Collaborate with clients, service providers, and internal teams to ensure smooth communication and project execution
Assist with preparing marketing materials and PowerPoint presentations tailored to client needs
Provide informal translation services and ensure accurate communication in Mandarin and English
Coordinate with other departments to execute assignments and support special projects
Offer legal secretarial support and serve as backup for the secretary team when needed
Requirements:
Minimum of 3 years of experience as an Executive Assistant or in a similar role supporting senior executives in a law firm or detail-oriented services setting
Proficiency in both Mandarin Chinese and English, with strong verbal and written communication skills
Bachelor's degree or higher in a related field
Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
Exceptional organizational skills with a keen attention to detail and accuracy
Ability to manage multiple priorities and adapt to a fast-paced environment
Strong client service orientation and the ability to build relationships with diverse stakeholders
Typing speed of at least 50 words per minute, coupled with excellent proofreading abilities
