Outsource UK are recruiting on behalf of a leading UK-based organisation for an experienced Executive Assistant to provide high-level administrative support to the Managing Director and Senior Leadership Team. This is a pivotal role requiring discretion, strong organisational skills, and the ability to manage competing priorities in a fast-paced, senior environment. The Role As Executive Assistant, you will provide efficient, reliable, and confidential support to the Managing Director while also assisting the wider Senior Leadership Team with a broad range of administrative and coordination tasks.
Job Responsibility:
Provide day-to-day administrative support to the Managing Director and Senior Leadership Team
Manage correspondence, including drafting emails and letters on behalf of senior leaders
Maintain complex diaries, scheduling meetings, conferences, teleconferences, and travel
Act as the first point of contact for visitors, customers, and external stakeholders
Coordinate catering and on-site meeting arrangements as required
Maintain effective communication with internal and external stakeholders at all levels
Manage a central leadership meeting calendar and issue timely meeting invitations
Capture and distribute meeting actions using shared IT platforms (e.g. Microsoft Teams)
Coordinate all aspects of business travel, including bookings, cost comparisons, and urgent support for travellers
Liaise with travel providers and contribute to reviews of alternative suppliers
Act as a point of contact for insurance matters and support the processing of claims
Support ad hoc projects as required by the senior management team
Provide administrative support to site services functions when required
Occasionally work outside standard office hours to support business needs
Requirements:
Proven experience in an Executive Assistant or senior administrative role
Strong organisational skills with excellent attention to detail
Ability to manage multiple priorities and stakeholders effectively
Confident communicator with strong written and verbal skills
Able to work independently under pressure and meet tight deadlines
A collaborative team player with a proactive approach
Highly proficient in Microsoft Office, particularly Word, Excel, and PowerPoint
