This is a pivotal role at the centre of Salience Labs, enabling the CEO and senior leadership team to operate at their highest level. As Executive Assistant, you will take ownership of complex scheduling, communications, and operational coordination, ensuring priorities are clear, time is used effectively, and nothing important slips through the cracks. Beyond core executive support, this role contributes directly to how the company operates and presents itself. You will support preparation of materials, help maintain consistency in external communications and branding, and act as a trusted point of coordination across the senior team. This is a role for someone who brings calm, judgement, and organisation to a fast-moving environment, and who enjoys being close to the heart of the business.
Job Responsibility:
Manage complex, frequently changing calendars for the CEO and wider C-suite, ensuring focus on the most important priorities
Actively prioritise requests and demands on the CEO’s time, providing clarity and structure
Anticipate scheduling conflicts or challenges and resolve them independently wherever possible
Coordinate travel arrangements and expenses, ensuring accuracy and efficiency
Run procurement and approval workflows on behalf of the CEO, reducing administrative overhead
Track deadlines, commitments, and follow-ups across CEO workstreams to ensure progress is maintained
Support preparation of slide decks and materials, pulling together information from across the business and applying consistent branding
Help maintain clear communication lines across the senior leadership team
Requirements:
Strong organisational capability, able to manage multiple priorities without losing detail
Proven ability to build reliable systems and processes for scheduling, travel, and expenses
A proactive mindset, anticipating challenges and solving them before they escalate
High levels of discretion and professionalism when handling sensitive and confidential information
Clear, confident communication skills across both written and verbal contexts
Strong technical fluency with modern office, collaboration, and organisational tools
A good eye for detail and presentation, particularly when supporting slide creation
A strong sense of ownership, able to drive tasks through without close supervision
