We are looking for a highly organized Executive Assistant to provide dedicated support to senior leadership in Birmingham, Alabama. This Contract position focuses on managing complex schedules, coordinating executive-level activities, and ensuring day-to-day administrative operations run smoothly in an in-office environment. The ideal candidate brings sound judgment, strong communication skills, and the ability to manage multiple priorities with discretion.
Job Responsibility:
Oversee and maintain demanding executive calendars, ensuring appointments, meetings, and deadlines are scheduled accurately and efficiently
Coordinate domestic and/or business travel logistics, including itineraries, reservations, and schedule adjustments as needed
Prepare for executive meetings by organizing materials, confirming attendance, and helping ensure all arrangements are in place
Support senior leaders with administrative tasks that improve workflow, responsiveness, and overall office efficiency
Manage special projects and follow-up items, keeping work organized and progressing according to established timelines
Communicate with internal and external stakeholders in a clear and attentive manner on behalf of executive leadership
Requirements:
Demonstrated experience supporting executives in an administrative or executive assistant capacity
Strong background in calendar management and coordinating multiple priorities with accuracy
Experience arranging travel and handling related logistics for business purposes
Ability to support executive meetings through planning, coordination, and preparation of materials
Proficiency with Google Suite for scheduling, document creation, communication, and organization
Excellent organizational, interpersonal, and written communication skills
Ability to handle sensitive information with discretion and maintain a high level of professionalism
