Brook Street have an exciting opportunity for an experienced Executive Assistant to join our public sector client based in Redgrave Court, Liverpool. This is a temporary assignment which will run until 14/03/26 with a possible extension, however this is not guaranteed. As a Divisional Support Officer/Executive Assistant you will support the Director, or Deputy Director and the Senior Leadership Team including a variety of administrative, financial and governance processes. This role is vitally important to the effectiveness of the Building Safety Regulator as you will be responsible for managing the time of the Director effectively through the coordination of internal and external partners. As a Divisional Support Officer/Executive Assistant you will aid the Director or Deputy Director with their day-to-day functions which will bring together and support regulatory partners such as key stakeholders, and building, structural and fire safety specialists
Job Responsibility:
Act as the main point of contact for a Director or Deputy Director
Co-ordinate and manage the diary of the Director including resolving conflicting meeting requirements, triaging incoming pieces of work, and managing travel arrangements such as accommodation and itineraries
Attend and prepare key stakeholder meeting notes to ensure accurate details of discussion points and key decisions are recorded, shared with the Director and relevant stakeholders, and follow-up actions are tracked, monitored and managed
Liaise with the Senior Leadership Team to ensure that information and papers are gathered and ready for presentation within a timely manner
Produce comprehensive meeting packs, briefing material and performance packs which may include sensitive information
Undertaking any other administrative and discretionary tasks identified and directed by senior leaders required for the smooth running of operations
Requirements:
Using judgement and initiative to identify areas for action, implementing decisions on behalf of the Director and Deputy Directors, and identifying opportunities to improve practices
Deal effectively and efficiently with those at a senior level, providing clear communication whilst managing expectations sensitively and developing collaborative relationships with their support teams
Have effective organisational skills and the ability to manage your own workload by making independent decisions about conflicting urgent priorities
Develop and maintain relationships with relevant internal/external stakeholders, acting professionally and with integrity at all times due to the often sensitive nature of the workload
