Job Responsibility

  • Manage a wide range of day-to-day administrative activities that enable senior leaders to operate efficiently and stay focused on strategic priorities
  • Prepare reports, presentations, correspondence, and other business documents while contributing to special projects as needed
  • Coordinate logistics for executive meetings and events, including scheduling, agenda preparation, meeting materials, and accurate documentation of discussions and action items
  • Support Board of Directors operations by organizing board and committee meetings, assembling and distributing materials, documenting minutes, and helping maintain alignment with governance requirements and bylaws
  • Monitor calendars, upcoming deadlines, and leadership commitments to proactively identify needs and ensure executives are well prepared for meetings, conferences, and external engagements
  • Partner with internal stakeholders to organize Executive Management Team meetings and maintain smooth communication around schedules, priorities, and follow-up items
  • Arrange domestic and/or business travel plans, including itineraries, bookings, and related coordination to support leadership travel needs
  • Serve as a dependable point of contact across the organization, helping facilitate communication between leadership, board members, and other key partners

Requirements

  • Demonstrated experience supporting executives in an administrative or executive assistant capacity
  • Strong calendar management skills with the ability to handle shifting priorities and multiple deadlines
  • Proven ability to coordinate travel arrangements and manage detailed itineraries with accuracy
  • Experience organizing executive-level meetings and preparing detailed agendas, presentation materials, and meeting notes
  • Proficiency with Microsoft Office, including advanced capability in Microsoft PowerPoint and strong working knowledge of standard business applications
  • Excellent written and verbal communication skills, with a high level of discretion
  • Ability to work independently, anticipate needs, and maintain strong attention to detail in a fast-paced environment
