Our client is seeking an experienced Executive Assistant to provide high-level administrative and operational support to the Executive Director in a dynamic, fast-paced foundation environment. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities while remaining calm and proactive under pressure. The hours are typically 8:30am - 5:30pm or 9:00am - 5:30pm (with some flexibility needed outside working hours), and the role is 3 days onsite in Manhattan, with the ability to flexible based on the needs of the business.
Job Responsibility:
Manage complex calendars, scheduling meetings across multiple time zones and global locations
Coordinate domestic and international travel arrangements and prepare detailed itineraries
Serve as gatekeeper for the Executive Director's time and manage confidential communications
Prepare meeting notes, board materials, and follow-up action items
Compile and track expense reports and reimbursements
Liaise with internal teams and external stakeholders, including high-profile contacts
Provide logistical support for board meetings, organizational events, and special projects
Requirements:
8-10+ years of experience as an Executive Assistant supporting senior leadership
Exceptional organizational and time-management skills with strong attention to detail
Ability to manage confidential information with discretion and professionalism
Strong written and verbal communication skills

Proficiency with office technology, virtual meeting platforms, and document management systems
Ability to prioritize, adapt, and pivot quickly in a fast-paced, entrepreneurial environment
