The Executive Assistant (EA) provides high-level administrative support to senior management, helping prioritize and organize their daily workload to optimize efficiency and effectiveness. This role requires exceptional organizational skills, discretion, and the ability to anticipate the needs of executives. The EA serves as a point of contact between executives, internal teams, and external stakeholders, maintaining professionalism at all times.
Job Responsibility:
Manage complex calendars, schedule meetings, and coordinate appointments, ensuring optimal time utilization
Prepare, format, and proofread correspondence, reports, presentations, and other documents
Arrange domestic and international travel, including transportation, lodging, and itineraries
Handle confidential information with integrity and discretion
Assist with the preparation for meetings, including agenda development, logistics, and follow-up actions
Screen and respond to incoming communications via phone, email, and other channels
Act as liaison between executives, team members, clients, and other stakeholders
Organize and maintain files and records, both electronic and hardcopy
Support various administrative tasks such as expense reporting, invoice processing, and event planning as needed
Requirements:
Previous experience supporting executives in a fast-paced, professional environment
Strong proficiency with Microsoft Office Suite and digital collaboration tools
Excellent written and verbal communication skills
Strong organizational, multitasking, and time-management abilities
High degree of professionalism, discretion, and confidentiality
Nice to have:
Bachelor’s degree or equivalent experience
Experience working in a corporate or similar environment
Familiarity with managing international travel and diverse stakeholder communications
