We are looking for an experienced Executive Assistant to support senior leadership within a fast-paced pharmaceutical environment. This position requires a highly organized, detail-oriented individual who can manage competing priorities, maintain clear communication, and ensure executive operations run smoothly. The ideal candidate brings strong judgment, attention to detail, and the ability to handle confidential information with discretion.
Job Responsibility:
Oversee complex executive calendars, prioritizing meetings and resolving scheduling conflicts to keep daily activities on track
Coordinate board and leadership meetings, prepare materials in advance, and capture accurate meeting notes and action items
Manage executive email communications by organizing messages, flagging urgent matters, and helping maintain timely follow-up
Arrange domestic travel plans, including itineraries, bookings, and expense-related coordination using approved tools and processes
Develop high-quality presentations, reports, and supporting documents for leadership updates, board sessions, and business reviews
Track deadlines, meeting deliverables, and follow-up items to ensure commitments are completed in a timely manner
Support administrative workflows that improve executive efficiency and maintain consistent documentation standards
Requirements:
5+ years of experience providing executive-level administrative support in a business environment requiring strong attention to detail
Demonstrated expertise in calendar coordination, inbox oversight, and domestic travel planning
Experience supporting board meetings, including agenda preparation, material coordination, and minute taking
Proficiency in preparing presentations, reports, and executive communications with a high level of accuracy
Familiarity with travel and expense platforms such as Concur or similar business travel tools
Strong organizational skills with the ability to manage multiple priorities and maintain confidentiality
Excellent written and verbal communication skills and a detail-focused approach to administrative support
