Job Description

We are seeking a highly organized and discreet Executive Assistant to support the Vice President of Global Partnerships. This key role manages the executive’s calendar and travel, coordinates expense reporting through Concur, handles confidential communications, and provides administrative and event planning assistance.

Job Responsibility

  • Calendar management, including scheduling internal and external meetings and ensuring efficient use of time
  • Preparation and submission of accurate expense reports through Concur
  • detail oriented note-taking and distribution of meeting minutes
  • Event coordination, including planning, logistics, and partnership signage management
  • Displaying high-level discretion in handling sensitive information and communications
  • Providing onsite support Monday through Thursday, with remote work available on Fridays
  • Ensuring all partnership-related signage and branding material is available at events as required
  • Other administrative duties as assigned

Requirements

  • 3+ years of administrative/executive assistant experience preferred
  • Experience with Concur or similar expense management systems
  • Exceptional organizational and communication skills
  • Experience coordinating events and supporting senior leadership
  • Demonstrated high level of discretion and professionalism
