Job Description:

Job Responsibility:

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements
  • Coordinate and prioritize the executive’s daily activities to optimize their time and productivity
  • Ensure the executive is informed of upcoming commitments and responsibilities
  • Act as the primary point of contact between the executive and internal/external stakeholders
  • Screen and prioritize emails, phone calls, and other forms of communication
  • Draft, edit, and review emails, memos, and other correspondence on behalf of the executive
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
  • Arrange logistics for company events, conferences, and executive meetings
  • Ensure all necessary materials and information are prepared for meetings and presentations
  • Handle travel-related issues or changes as they arise
  • Maintain accurate and organized files and records, both electronic and paper
  • Build and maintain relationships with key stakeholders, clients, and partners
  • Coordinate and facilitate communication between the executive and external contacts
  • Represent the executive in professional interactions and maintain a high level of professionalism
  • Assist with personal tasks and errands as requested by the executive

Requirements:

  • Bachelor’s degree or equivalent experience
  • Proven experience as an Executive Assistant or in a similar administrative role
  • Exceptional organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • Strong attention to detail and ability to multitask in a fast-paced environment
  • Professional demeanor and ability to handle sensitive information with discretion
