We are looking for a skilled and dedicated Executive Assistant to provide exceptional support to senior investment professionals at a distinguished private equity firm in Boston, Massachusetts. In this pivotal role, you will act as a key business partner, ensuring seamless operations and contributing to the overall success of the team. Job Responsibility:
Manage complex calendars for senior executives, ensuring all appointments, meetings, and deadlines are coordinated efficiently
Organize and facilitate high-level meetings with portfolio company leaders and Limited Partners, ensuring smooth communication and logistics
Coordinate and oversee intricate domestic and international travel arrangements, including accommodations, itineraries, and transportation
Plan and execute logistics for board meetings, including preparation of materials and management of schedules
Provide hospitality services to ensure a welcoming and well-maintained office environment for all visitors
Prepare and maintain event spaces, oversee catering arrangements, and assist with firm-wide gatherings such as investor meetings and offsite events
Handle expense reporting and tracking for executives, ensuring accuracy and timely submissions
Act as a steward of the office environment, ensuring it consistently reflects the firm’s high standards
Collaborate with team members to uphold a culture of excellence and high standards
Serve as a point of contact for various administrative needs, ensuring timely resolution of issues
Requirements:
Minimum of 5 years of experience in executive support, preferably within private equity, venture capital, or detail-oriented services such as law or consulting
Strong interpersonal skills with the ability to communicate confidently and effectively with senior executives and high-net-worth individuals
Proven ability to manage multiple tasks and priorities in a fast-paced, collaborative environment
Exceptional organizational skills with attention to detail and a proactive approach to problem-solving
Experience managing calendars, coordinating travel, and preparing expense reports for executives
Proficiency in handling board reporting and facilitating high-level meetings
Adept at preparing and maintaining event spaces with a focus on detail and overseeing hospitality arrangements
