The Executive Assistant (EA) provides high-level, confidential and proactive support to the General Manager of the Bombardier Aerospace Service Centre in Singapore. The role is critical in ensuring smooth executive operations, effective stakeholder coordination, and professional execution of leadership, communication and engagement activities in a regulated aerospace MRO environment. The EA acts as a trusted gatekeeper, coordinator and liaison, supporting the GM in managing priorities, communications and site-level initiatives while maintaining discretion, accuracy and operational awareness.
Job Responsibility:
Manage the GM’s complex calendar, appointments and reminders across local and international time zones
Proactively plan and coordinate domestic and international travel itineraries
Manage the GM’s email and correspondence, drafting professional communications on behalf of the GM when required
Act as the first point of contact for internal stakeholders and international Bombardier offices
Organise executive and leadership meetings including agenda preparation, presentation slide support, minutes taking and action tracking
Ensure meeting rooms are booked and set up professionally
Plan and facilitate internal and external engagement events
Act as liaison for RMP / CREDO recognition programmes and Long Service Awards
Support the Marketing team with administrative tasks
Maintain and update the monthly organisational chart
Raise Purchase Requisitions (PRs) for approvals
Arrange business cards upon request
Provide ad-hoc administrative support as assigned by management
Serve as backup for Reception duties when required
Requirements:
Minimum 6–8 years of experience as an Executive Assistant or Senior Administrative Assistant, preferably supporting senior leadership
Experience in aviation, engineering, manufacturing or regulated industries is an advantage
Prior exposure to multinational or matrix organisations preferred
Strong organisational and time-management skills with high attention to detail
Excellent written and verbal communication skills
High level of discretion and confidentiality
Ability to manage multiple priorities in a fast-paced, regulated environment
Confident stakeholder management across seniority levels and cultures
Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel)
Comfortable working with enterprise systems and portals
Possess knowledge of core AI and automation tools for common office tasks
Nice to have:
