We are seeking a motivated and professional Executive Assistant to support senior leadership within a fast-paced legal environment. This position plays a critical role in managing communications, supporting daily operations, and fostering efficient workflow. The ideal candidate excels in providing exceptional customer service and demonstrates strong phone etiquette.
Job Responsibility:
Answer and direct incoming phone calls promptly
provide outstanding customer service to clients, legal professionals, and partners
Manage executive calendars, schedule meetings, and coordinate internal/external appointments
Prepare legal documents, correspondence, and presentations
ensure high standards of accuracy and confidentiality
Organize and maintain files, both electronic and physical, meeting compliance standards for record-keeping
Facilitate communication between attorneys, clients, and staff members
Arrange travel, process expense reports, and support logistics for conferences or court-related travel
Assist in client onboarding, collect relevant information, and process documentation as required
Monitor deadlines and assist with case management tasks as assigned
Requirements:
Proven experience as an executive assistant, legal assistant, or similar administrative role within the legal industry
Excellent verbal, written, and interpersonal communication skills
the ability to answer phones and provide exceptional customer service is required
Strong organizational and time management abilities
must be able to multitask in a deadline-driven environment
Proficiency with Microsoft Office Suite
familiarity with legal management software and document management systems strongly preferred
