Legal Services of North Florida has an opening for an Executive Assistant in our Tallahassee location. Come work with great people who do hard work to better the lives of low-income and vulnerable individuals in our communities. Work independently and as part of a team to support the Executive Director and the functions of a non-profit law firm, with 140+ employees in eight offices across North Florida.
Job Responsibility
Managing the Executive Director's calendar, including scheduling and prioritizing meetings and events
Preparing meeting materials, agendas, and follow-up documentation in advance of key meetings
Assisting in the coordination of internal and external meetings, conferences, and travel arrangements
Supporting the preparation and submission of grant documents and reports
Drafting and proofreading professional correspondence, memoranda, minutes, and related records
Serving as a liaison between the Executive Director and internal teams, external partners, and community contacts
Supporting high-level projects and initiatives as assigned
Requirements
Minimum of five years of experience in a high-level administrative role supporting executive leadership, C-suite team members, or senior decision-makers
Proven ability to work proactively, manage shifting priorities, and anticipate the needs of executive leadership
Exceptional written and verbal communication skills, with strong attention to grammar, tone, and professional correspondence
Professional demeanor with a demonstrated ability to handle sensitive information with discretion, sound judgment, and a strong sense of ethical responsibility
Proficiency with common office technologies and tools, including Microsoft Office Suite (Word, Excel, Outlook), cloud-based file storage systems, and standard office equipment (printer, scanner, copier)
