We are looking for an experienced Executive Assistant to provide high-level support to a senior operational leader within a growing healthcare organization. This contract position is ideal for someone who brings sound judgment, strong follow-through, and the ability to manage shifting priorities in a fast-paced, multi-specialty clinical environment. The role requires a proactive and detail-oriented individual who can keep executives and department leaders organized, prepare high-quality materials, and help maintain momentum across projects and meetings.
Job Responsibility:
Manage a complex executive calendar, prioritize competing requests, and coordinate scheduling with internal leaders across multiple locations
Support weekly leadership meetings by organizing agendas, preparing materials, tracking action items, and following up to keep projects moving forward
Arrange business travel and related logistics, ensuring plans are accurate, efficient, and aligned with changing priorities
Create and format clear, accurate documents, presentations, spreadsheets, and reports for executive and departmental use
Monitor ongoing assignments and deadlines, helping leadership stay informed, prepared, and focused on the most urgent matters
Provide administrative support to managers and department heads, including meeting coordination, time management assistance, and general operational follow-through
Use tools such as Outlook, Teams, Asana, Excel, Word, PowerPoint, and Copilot to organize information, track progress, and communicate updates effectively
Assist with vendor coordination and administrative tasks related to facilities or real estate matters as needed
Serve as a dependable point of support by anticipating needs, asking thoughtful questions, and helping leadership make well-informed decisions
Contribute to operational continuity in an evolving environment, including administrative support connected to platform or process changes when required
Requirements:
5+ years of experience supporting senior executives or operational leaders in an administrative or executive assistant capacity
Demonstrated success managing complex calendars, executive meetings, and travel arrangements with a high level of accuracy
Strong project coordination skills with the ability to track follow-up items and maintain progress across multiple priorities
Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook, along with experience using collaboration or task-tracking tools such as Teams or Asana
Ability to build clear, well-structured documents and basic spreadsheets, including organizing data and applying common Excel functions
Excellent judgment, communication skills, and professionalism when interacting with leaders, managers, vendors, and cross-functional teams
Highly organized, analytical, and proactive, with the confidence to clarify urgency, push back when appropriate, and anticipate next steps
Healthcare industry experience is preferred, particularly in a multi-specialty or clinical services environment.
