Job Description

Our client is seeking a highly polished, proactive Executive Assistant to support senior professionals within the Capital Markets team at a leading global investment firm. This is a high-volume, fast-paced team support role requiring exceptional calendar management, attention to detail, and the ability to operate as an approachable gatekeeper across multiple stakeholders. The ideal candidate is organized, service-oriented, and brings strong instincts from prior EA experience to add value and streamline workflows. Hours are generally 8:30am-5:30pm with flexibility as needed, and the role is fully onsite five days per week with potential flexibility over time.

Job Responsibility

  • Provide executive-level administrative support to a team of MDs, Principals, and other professionals
  • Manage complex calendars, scheduling internal and external meetings across time zones
  • Coordinate domestic and international travel, including multi-leg itineraries, hotels, car services, restaurants, and visas
  • Process and reconcile expense reports in a timely and accurate manner
  • Act as an approachable gatekeeper, helping prioritize communications and optimize executive time
  • Coordinate meeting logistics, conference rooms, and materials
  • Maintain organization of workflows, communications, and priorities
  • Anticipate scheduling conflicts and proactively resolve issues
  • Collaborate with other assistants and teams to ensure seamless support
  • Assist with ad hoc administrative tasks as needed

Requirements

  • 5-7+ years of Executive Assistant experience
  • Strong experience supporting multiple executives or teams
  • Excellent calendar management and travel coordination skills
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
