We are looking for an experienced Executive Assistant to provide high-level administrative support to executive leadership. This contract role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities efficiently. Based in Long Island City, New York, this position involves coordinating schedules, arranging travel, and ensuring seamless communication between key stakeholders.

Job Responsibility

  • Maintain and manage executive calendars, prioritizing appointments and scheduling meetings effectively
  • Coordinate domestic and international travel arrangements, including booking flights, accommodations, and transportation
  • Prepare and organize materials for executive meetings, ensuring all necessary documentation is readily available
  • Act as the primary point of contact for communication and correspondence on behalf of executives
  • Monitor and handle incoming requests, ensuring timely responses and prioritization of urgent matters
  • Collaborate with other team members to ensure alignment on schedules and deliverables
  • Facilitate smooth execution of travel plans by addressing any logistical challenges or changes
  • Provide support with event planning and coordination as needed

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role
  • Proficiency in managing complex calendars and scheduling systems
  • Strong organizational and multitasking abilities to manage competing priorities
  • Excellent communication skills, both written and verbal
  • Ability to handle sensitive information with discretion and professionalism
  • Advanced proficiency in office productivity tools such as Microsoft Office Suite
  • Familiarity with travel booking platforms and processes
