As Executive Assistant, you will support our Country Manager to ensure the smooth running of day-to-day operations. In this role, you will handle a variety of administrative duties, manage calendars, coordinate travels, and prepare expense reports. Your contributions will enhance the efficiency of the business, particularly by assisting with data collection and reporting for our sales department.
Job Responsibility:
Act as a key point of contact between executives, employees, clients, and external partners
Prepare internal and external communications, including memos, meetings, emails, presentations, and reports
Manage the CEO's calendar, optimizing daily/weekly schedules for productivity and health
Handle travel and accommodation arrangements for executives
Track and manage invoices, receipts, and expense reports
Manage a dynamic travel itinerary, taking into account time zones and multiple requirements
Oversee office management needs, including inventory, supplies, and travel logistics
Support the Office Manager when needed in its daily duties
Collaborate with sales managers to gather daily forecasts and review sales data
Ensure the accuracy of sales reports and coordinate with the finance department on monthly commission checks
Take care of last-minute special projects (e.g. product/company research, presentations, business modeling)
Requirements:
At least 3 years of previous experience as an Executive Assistant, Personal Assistant, or similar role
Proficient in MS Office and Google Workspace
Ready to interact with different and challenging stakeholders by anticipating their needs
Know how to prioritize tasks in a timely and efficient way
Able to handle meetings and docs both in Italian and English
High level of discretion and confidentiality
