We are seeking a highly organized and proactive Executive Assistant to provide part-time support to the CEO in a hybrid work environment. This role pays between $40 and $45 an hour. This role is responsible for managing the CEO’s daily workflow, calendar, and scheduling priorities to enhance efficiency and productivity. The ideal candidate is detail-oriented, anticipates needs, and ensures the CEO is well prepared for meetings, events, and travel.
Job Responsibility
Manage the CEO’s daily schedule, calendar, and meeting priorities to support effective time management
Coordinate and schedule meetings, appointments, conferences, and related logistics on behalf of the CEO
Anticipate scheduling conflicts and proactively adjust plans as needed
Prepare the CEO for meetings and events by confirming logistics, materials, and timing
Handle business travel arrangements and manage travel expense reporting
Process travel and expense reports using Concur
Support overall organization and administrative flow for the CEO to ensure smooth day-to-day operations
Serve as a reliable point of coordination for internal and external meeting logistics
Requirements
Prior experience supporting senior executives, preferably at the C-suite level
Strong calendar management and scheduling experience
Experience coordinating business travel and processing expense reports
Proficiency with Concur for travel and expense management
Excellent organizational skills and strong attention to detail
Ability to anticipate needs, manage competing priorities, and work independently
Strong written and verbal communication skills
Proficiency with Microsoft Office Suite and virtual meeting tools
