The Executive Assistant provides high-level administrative support to our Executive team and serves as the central point of contact for office coordination. You aren't just managing calendars; you are protecting our leaders' time and ensuring our office culture remains professional, organized, and high-energy.
Job Responsibility:
Provide high-level administrative assistance to the Executive team and Directors
Manage complex calendars, arrange travel, and coordinate accommodations
Draft high-stakes letters, memos, reports, and invoices
Attend meetings on behalf of executives to record minutes and track action items
Screen incoming communications, summarizing content and prioritizing what needs immediate attention
Oversee daily office operations, from vendor management to supply ordering
Act as the primary point of contact for facilities management, ensuring a clean and efficient workspace
Own the 'First Impression'—managing mail, package deliveries, and courier services
Support the People Team with new hire onboarding, ensuring equipment and access are ready on Day 1
Track and report on office-related budgets and expenses
Requirements:
4+ years of high-level administrative or executive support experience
Extremely proficient in Microsoft Office Suite, Google Workspace, and Slack
Able to type a minimum of 50 WPM and learn new software quickly
Superior verbal and written communication skills across all channels (email, phone, text)
The ability to remain calm and function well in a high-paced, high-stakes environment
Must be comfortable sitting for long periods and able to lift up to 50 lbs (handling office deliveries/supplies)
