We are looking for a highly organized and meticulous Executive Assistant to provide key administrative support for the Associate Vice President in a university setting. This Contract to permanent position requires a proactive individual who can manage schedules, prioritize tasks, and handle confidential matters with discretion. Based in Lansing, Michigan, this role offers an opportunity to contribute to the success of the division by coordinating events, managing workflows, and ensuring seamless operations. This role is a contract assignment through the end of 2026, 100% onsite, M-F 8am-5pm.
Job Responsibility:
Oversee the daily calendar for the Associate Vice President, ensuring schedules are well-organized and prioritized
Coordinate travel arrangements, including booking flights, accommodations, and preparing itineraries
Manage office operations by maintaining a clean workspace, ensuring supplies are stocked, and addressing service needs
Assign tasks and provide guidance to student employees to support divisional goals
Review and manage incoming communications, such as memos and reports, to determine importance and distribution
Conduct research, compile data, and prepare reports or presentations for executive-level decision-making
Collaborate with Conference Services and other teams to organize and support events throughout the year
Draft, edit, and finalize precise documents and spreadsheets using Microsoft Office applications
Respond to routine inquiries and correspondence in a timely and thorough manner
Assist with administrative functions, including data entry and other duties as assigned
Requirements:
Associate’s Degree from a regionally accredited institution or equivalent education and experience
Proven experience providing administrative or executive-level support in a detail-oriented setting
Strong proficiency in using various office technologies and Microsoft Office applications
Excellent verbal and written communication skills, with the ability to engage effectively with diverse stakeholders
Demonstrated ability to manage multiple priorities and lead tasks under tight deadlines
Experience maintaining confidentiality while handling sensitive information
Ability to coordinate and support events effectively, including managing logistics
Flexibility and adaptability to address evolving needs and challenges within the division
