We are looking for an Executive Assistant to support senior leadership in Minneapolis, Minnesota through a contract opportunity with the potential for a permanent role. This role is ideal for someone who excels in a fast-moving environment, brings strong judgment to shifting priorities, and maintains a high level of professionalism in every interaction. The position combines executive support, office coordination, and communication management to help leaders stay organized, prepared, and focused on key business goals.
Job Responsibility
Oversee complex scheduling for executive leadership, coordinating meetings, conference calls, and daily calendar changes with close attention to timing and priorities
Arrange business travel from start to finish, including transportation, lodging, itinerary updates, and related logistics for executives and team members as needed
Prepare, organize, and polish materials for internal and external communication, ensuring documents and presentations are accurate and professionally formatted
Support office operations by handling scheduling needs, expense documentation, file organization, supply and inventory coordination, shipping activities, and building-related administrative matters
Coordinate meetings and events by managing timelines, logistics, materials, and follow-up tasks to ensure a smooth experience for participants
Proactively identify administrative or operational obstacles and address them early so leadership can remain focused on strategic work
Manage confidential information with discretion while responding effectively to changing business needs and urgent requests
Provide additional administrative support and special project assistance as business priorities evolve
Requirements
Bachelor’s degree is preferred, though equivalent relevant experience will also be considered
Demonstrated experience supporting C-suite or other senior executives in a high-visibility administrative role
Strong proficiency with Microsoft Office applications, including Word, Outlook, Excel, PowerPoint, and Teams
Ability to evaluate competing demands, make sound decisions independently, and respond well in ambiguous situations
Clear and effective communication skills with the ability to work effectively across departments and with varied stakeholders
Excellent organizational skills with strong attention to detail and the ability to manage multiple priorities at once
Background in calendar coordination, executive meeting support, and travel planning is highly valued
