We are looking for an Executive Assistant to provide high-level administrative and operational support for a legal and compliance function within a non-profit organization in Washington, District of Columbia. This Contract position requires a highly organized individual who can manage scheduling, documentation, reporting, and communications while handling sensitive information with discretion. The ideal candidate will help keep departmental priorities on track, support leadership with meeting and travel coordination, and contribute to efficient day-to-day operations across a fast-paced environment.
Job Responsibility
Manage complex calendars, coordinate internal and external meetings, and organize travel arrangements to support leadership priorities
Prepare meeting materials, capture accurate notes, and follow up on action items to help maintain progress across legal and compliance activities
Draft, format, edit, and proofread contracts, memoranda, reports, and other business documents with close attention to detail
Maintain department records, production schedules, and tracking tools to monitor legal matters, deadlines, and ongoing work
Compile routine reports, data summaries, and analytics for department leadership and other authorized stakeholders in accordance with organizational guidelines
Support budget-related administrative tasks by monitoring outside counsel engagements, tracking associated expenses, and preparing cost reports
Respond to inquiries from board members and internal partners, escalating matters as needed and ensuring timely communication on behalf of department leadership
Collaborate with cross-functional teams, committees, and external contacts to support organizational goals and coordinated project execution
Provide logistical and administrative support for board meetings, conventions, conferences, and other on-site or off-site events as assigned
Handle confidential information responsibly while maintaining a thoughtful and attentive approach in all interactions with employees, leadership, and external stakeholders
Requirements
Demonstrated experience providing executive-level administrative support in a detail-oriented office environment
Strong calendar management and meeting coordination skills, including the ability to support executive meetings with accuracy and efficiency
Experience arranging business travel and managing related logistics for leadership or key stakeholders
Excellent written communication skills with the ability to draft, revise, and proofread detailed documents
Strong organizational skills with the ability to manage multiple priorities, maintain records, and meet deadlines consistently
Proficiency in preparing reports, compiling data, and supporting administrative processes with a high degree of accuracy
Ability to handle sensitive and confidential information with sound judgment and discretion
Comfortable working collaboratively across departments within a mission-driven, non-profit setting
