Job Description:

The town of Duxbury is seeking an Executive Assistant to the Town Manager to provide confidential administrative and support to the Office of the Town Manager. This position plays a key role in ensuring the efficient coordination of municipal operations and communication between departments, boards/committees, and the public. The Executive Assistant performs complex administrative duties including managing calendars, scheduling meetings, preparing correspondence, maintaining records, and assisting with special projects. Responsibilities also include coordinating agendas and materials for meetings, handling sensitive information with discretion, and serving as a liaison between Town Manager, staff, and residents. This position requires excellent judgment, attention to detail, and the ability to work independently while maintaining a high level of professionalism and confidentiality. This is a full-time 40 hours per week, FLSA exempt, Grade 9 Personnel Policies position with some night meetings required.

Job Responsibility:

  • Provide confidential administrative and support to the Office of the Town Manager
  • Ensure efficient coordination of municipal operations and communication between departments, boards/committees, and the public
  • Perform complex administrative duties including managing calendars, scheduling meetings, preparing correspondence, maintaining records, and assisting with special projects
  • Coordinate agendas and materials for meetings
  • Handle sensitive information with discretion
  • Serve as a liaison between Town Manager, staff, and residents

Requirements:

  • College degree
  • Three to five years of executive office experience
  • Any equivalent combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job
  • Municipal experience a plus
  • Certification as a Notary Public
