Job Description:

The Executive Assistant to the CEO provides high-level support to the Chief Executive Officer. This role requires the prudent exercise of independent judgment and discretion and requires a deep understanding of organizational priorities. The Executive Assistant acts as a liaison between the CEO and internal/external stakeholders, manages sensitive information, and ensures the CEO’s office operates efficiently and effectively. The incumbent is expected to multi-task with competing priorities and work independently to triage and flex how to accomplish all required work and daily expectations on time while managing the day-to-day for the CEO.

Job Responsibility:

  • Manage and optimize the CEO’s calendar, including scheduling meetings, travel, and events across multiple time zones with a high degree of autonomy
  • Prepare materials, agendas, and follow-up documentation for internal and external meetings
  • Handle confidential correspondence and communications with discretion and professionalism
  • Coordinate cross-departmental projects and ensure timely follow-up on action items
  • Represent the CEO in meetings and communications when delegated
  • Key contact for Chairman and other board members
  • Act as a liaison between the CEO and internal/external stakeholders, including board members, investors, and senior executives
  • Coordinate cross-functional initiatives and ensure timely execution of strategic priorities
  • Conduct research, prepare reports, and draft communications on behalf of the CEO
  • Work in tandem with CEO’s Chief of Staff daily to prioritize and strategically manage calendars and agendas
  • Organize and maintain executive files, records, and reports
  • Prepare and submit expense reports
  • Procure materials needed for the executive office
  • Assist with special projects, presentations, and high-level communications
  • Maintain confidentiality of sensitive corporate and personnel information
  • Plan and coordinate complex travel itineraries for CEO including use of private aircraft
  • Organize executive offsites, board meetings, and leadership events

Requirements:

  • Minimum of High School diploma or equivalent
  • college degree preferred
  • 7+ years of experience supporting C-suite executives, preferably in a Fortune 500 or global enterprise
  • Exceptional written and verbal communication skills
  • High proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook, OneDrive, Teams), Google Workspace, and modern productivity tools (e.g., AI, Slack, Zoom, Concur)
  • Proven ability to handle confidential information with integrity and discretion
  • Strong organizational, time management, and problem-solving skills
  • Ability to thrive in a fast-paced, high-pressure environment
